Environmental Graphic Design Project Manager

EXECUTIVE SUMMARY 

The primary responsibility of the Project Manager is to manage projects from proposal through implementation, working closely with the Project Director and Design Directors to guide the efforts of the design team to ensure we exceed our Clients’ expectations within our defined schedule and budget. 

This requires excellent communication and attention to detail to manage the needs of our Clients and our team members, our two most important business assets.

You have excellent written communication skills. Whether it is a proposal or an email confirming a date, direction, or detail, the words we use define scopes, define boundaries, and define or defend against liability. They are critical to our profitability and success. 

You are calm in the eye of the storm. When deadlines get tight and tensions run high, you step and and act as the voice of reason that helps the team break down the insurmountable list into manageable tasks and help us get to the finish line.

The ideal Project Manager candidate with have a balance of knowledge and experience in four key areas: Design, Architecture, Project Management and Sports. 

PROJECT MANAGEMENT PRIMARY RESPONSIBILITIES 

  • Client service: Cultivate and maintain a positive working relationship with all client representatives, Creative Council ™ members and vendor working on the project; understand client’s goals and objectives; proactively anticipate and respond to the clients requests/needs; ensure client is satisfied with design quality and service. 
  • Strategy + research: With direction from Project Director, and collaboration with Design Directors, conduct the appropriate level of research and analysis as it relates to the strategic positioning and documentation of the project. 
  • Team management: Communicate clear deliverables and schedules to creative project team and follow up as needed to ensure deadlines and expectations are met. Co-leading, managing and guiding resources, with Design Directors to achieve specific goals; ensure team communication is delivered in a consistent and timely fashion. 
  • Creative presentation strategy: Collaborate with senior design team on creative presentation strategy for client meetings. 
  • Presentations: Organize and coordinate Client presentations. Co-Lead and give successful presentations; express creative thoughts articulately in internal brainstorms and Client presentations. 
  • Schedule management: Build schedules to include sufficient time for all phases of development; evaluate and maintain schedule and adjust as necessary for key milestones, Client approvals and deadlines. Use expertise to suggest options to maintain schedule. Forecast and track key project metrics. 
  • Project budget management: Effective management of changes to budget and/ or commitments to ensure projects are completed under budget, and timely and accurate budget reporting to the client. 
  • Quality control: Responsible for the quality and accuracy of all deliverables; proofread; spell check; ensure deliverable responds to all Client feedback before sending to Client. 
  • Construction administration: Manage all aspects, in collaboration with Design Directors, of construction administration process including budgeting, scheduling, submittals, and final reports; coordinate bidding, supervise fabrication process to ensure final product is consistent with approved design intent; review proofs; attend prototype reviews; attend site visits; construction administration of design intent. 
  • Project documentation: Provide timely and accurate project documentation and reporting including but not limited to: creation and documentation of all job specific correspondence, such as meeting notes and project approvals, project directories and project status updates to keep clients and team members updated. 
  • Resource planning: For assigned projects, ensure weekly analysis and reporting of labor hours and expenses spent versus budgeted. Plan and review project resource requirements on a weekly basis with senior design team to ensure appropriate staff is planned to deliver on project requirements. 
  • Project travel coordination: Coordinate with Assistant Project Manager and/or Studio Assistant on project-related travel for team members. 

CONTRACT MANAGEMENT 

  • Proposals: Support Project Director and/or Partner-in Charge with creation of proposals for new business and/or additional services including: resource planning, budgeting hours, scope of work, scope of services, project development schedule and timelines. Proposals created in Adobe InDesign. 
  • Project scope: Understand contracted scope of services and identify additional services Infinite Scale provides that could further the Client’s goals and objectives. 
  • Contract administration: Manage project service contracts and change orders with Project Director and/or Partner-in Charge, and verify appropriate vendor insurance certificates; ensure any overruns are covered via change orders. 
  • Invoicing: Work with Project Director and Accounting Team to coordinate invoicing client based on agreed payment schedule; manage project expense budgets and provide team and client with status reports as necessary. 
  • Open + close project: Upon contract, ensure proper open and close process is set and maintained, including working with marketing team to ensure proper project documentation for marketing purposes.

  • Fabrication costs: Understand substrates, production methods and costs for products/ processes utilized in graphic design/environmental graphic design; knowledgable about associated fabrication costs as it relates to presented design options. 
  • Design trends: Knowledgable about current trends and design excellence in global community of design. 
  • Client industry knowledge: Knowledgable about our client industry, specifically sport industry as it relates to our sport clients. 
  • Project travel: Ability to travel for project related needs, such as Client meetings, site visit analysis and documentation, fabrication supervision and installation supervision.

Experience Needed:

MINIMUM REQUIREMENTS + SKILLS 

  • Bachelor’s Degree, design background with sports focus preferred 
  • 3+ years of experience in design studio project management 
  • Experience working with multiple project directors, fabricators and clients 
  • Experience with Apple O/S and products Expert with digital project management tools 
  • Experience with FTP and file transfer software 
  • Experience with Adobe Creative Suite preferred 
  • Experience with Workamajig, Sign Agent Pro & FileMaker Pro a plus 
  • Strong interpersonal skills; a team player, positive and innovative thinker 
  • Excellent written and verbal communication skills 
  • Position may require travel

Senior Environmental Graphic Designer

Infinite Scale is seeking a Senior Designer to join our team. Successful candidates will possess strong conceptual, typographic, visual communication and problem-solving skills. Responsibilities include leading a team of designers in all phases of project from schematic design to implementation, for brand activation, signage systems, environmental graphics, and partner integration sport-related projects.

Experience in the area of Environmental/Experiential Graphic Design is a must.

The position requires the ability to think in three dimensions and an expertise with substrates, production methods and costs for products/processes utilized in environmental graphic design. The right candidate will have experience with strategic project planning, strong conceptual design skills and budget management.

We seek well-rounded design professionals and expect excellent client and presentation skills. Our studio’s process is collaborative and requires strong communication skills and the ability to work independently or as part of a team.

Experience Needed:

MINIMUM REQUIREMENTS + SKILLS

  • Bachelor’s Degree in graphic design, environmental graphic design or related field
  • 6+ years experience in EGD/signage/wayfinding design and production
  • Thorough experience with site analysis and programming for complex wayfinding, interpretive and sport-related environments
  • Ability to develop and implement interior and exterior signage packages (sign drawings, location plans, and schedules)
  • Possess a strong in-depth understanding of production methods, materials and fabrication techniques, ability to turn design concepts into detailed development and construction intent drawings
  • Experience leading and managing architectural and EGD projects from conceptual development through implementation/installation
  • Comprehension of architectural scales, sections, plans and elevations. Must be able to read and interpret architectural documents and shop drawings
  • Collaborative process with good communication skills that works well in an interdisciplinary, fast-paced environment
  • Ability to work both cooperatively or autonomously
  • Provide design direction, training, and feedback during all phases of a project
  • Encourage design excellence and a high level of professionalism
  • Excellent written and verbal communication skills, with strong client and presentation skills
